Time to turn ideas into reality? Let's go! We at the office are here to support you throughout the implementation phase of the project. Here we have gathered advice and information.
This page is aimed at you with projects that have received a positive decision from Leader Development Hälsingebygden's board and the Swedish Board of Agriculture.
START DECISION
Approved project by the board
– What happens now?
Have you received a positive response from the board and the Swedish Board of Agriculture? Congratulations, then it's time to get started!
You have support from the office throughout the project period. For example, we will offer training at the project start, hold follow-up meetings, and assist you with the application for payment.
Follow the guide below!
HELP ON THE WAY
Download our handbook!
Read this page and print out our handbook and have it as a guide during the project.
Some advice along the way
Read the start decision carefully
From experience, we know that one wants to get started quickly, but it also helps if you do it right from the beginning.
Therefore, read through your start decision carefully and feel free to look at which questions need to be answered in the final report already now. Then you will know what will eventually need to be reported back.
Note the EU's information requirements
All projects that receive support through us must show this by using the EU logo and the Leader Development Hälsingebygden logo. Note that the Swedish Board of Agriculture can deduct or reclaim the support if the recipient does not meet the information requirements.
The logos should be present in documents and printed materials such as brochures, newsletters, signage, advertisements, and films.
The logos should also be present on the websites and in the social media that contain information about the project. There should also be a short description of the project, information about its purpose and results, a link to the Leader Development Hälsingebygden website, and information that the funds partly come from the EU.
It is important to use the logos correctly. On Swedish Board of Agriculture's website you can read more about the guidelines that exist.
Use the correct logos
Download the correct logos below. Also, read about how you should use them on The Swedish Board of Agriculture.
When you inform about your project or your investment, it should be clear that the money comes from the EU. There should be an EU logo consisting of the EU flag along with text. The EU logo should always be visible and have a prominent place.
Do you need them in another format or crop? Contact us and we will help you!
Report working hours
For reporting working hours in the project, you use the Swedish Board of Agriculture's form ”Project diary”.
Report voluntary contributions
In all leader projects, co-financing in the form of voluntary contributions is required, which can be both voluntary work and voluntary resources.
Voluntary work is reported in project diaries with time reporting or with participant lists. Templates are provided by the leader office.
Voluntary resources are reported through, for example, a list of donations, mileage logs, valuation certificates.
Travel compensation
For reporting travel compensation by car within the project, you use the Swedish Board of Agriculture's form.
When purchasing used equipment
To certify that the used equipment or the reused material that you have purchased in the project was not purchased with support from public funds by the previous owner, you use the Swedish Board of Agriculture's form.
Apply for an advance
There is an opportunity to apply for an advance as soon as you have received the formal decision from the Swedish Board of Agriculture – this applies to everyone except municipalities and authorities.
In the decision, you can see how much support you can receive from the Swedish Board of Agriculture, the project support part. That is the amount that forms the basis for what you can receive as an advance. You can apply for up to 50% of the project support part in advance, but no more than 250,000 kronor.
Remember to report expenses even for the advance, it is part of your granted support. You report this in connection with the application for partial and final payment.
You apply for an advance via My pages at Swedish Board of Agriculture's website.
Apply for partial payment
When costs have arisen in the project, an application for partial payment can be made to the Swedish Board of Agriculture. This is preferably done regularly during the project. Always contact the office before you make an application for partial payment!
The office is happy to help and answer questions or hold a working meeting and go through the application for partial payment together with you. You apply for partial payments via My pages at Swedish Board of Agriculture's website.
Be sure to keep the payment proofs
In addition to invoice copies, you also need payment proofs showing that the payments have gone through. A payment proof can be downloaded from the online bank, often you can click on “Historical payments” or similar. The payment proof should include the following:
- Payment date
- Paid amount
- Sender (which account the money was withdrawn from)
- Recipient (that the payment has gone to the same plusgiro, bankgiro, or account number as stated on the invoice)
- That the payment has been completed. “Immediate payment” is not considered a completed payment.
Avoid deductions
Read the decision carefully. Follow the conditions, approved project plan, and budget. If you deviate from the project plan and your decision, you risk not receiving the funds you have applied for. Only the expenses stated in the decision are eligible for support.
Be careful with the logos. Ensure that the correct logos are included on all materials. If this is missed, there is a risk of deductions. We can give you advice if you are unsure.
Don't forget to separately report the project's expenses. To avoid deductions, you should be able to produce a report from the accounting that only includes the expenses that belong to the project.
Contact us at the office with questions or any uncertainties!
Apply for a change of decision
If things do not go as planned
During the implementation of the project, it is important to work according to your project plan and follow your decision on support. Since the decision is based on the application with the project plan and budget, deviations from these must be communicated to and approved by the office before the change can be implemented. Otherwise, there is a risk that the support cannot be paid out.
Contact us at the office if something does not go as planned in the project. Likewise, if you need more time to implement the project. It is important that this contact occurs before you make any changes.
In the case of changes, which have been communicated and approved by the office, you must submit a form to the Swedish Board of Agriculture.
