final report

Time to summarize your project and write a final report?
Here we explain how you should do it!

Time for final reporting

Retrieve your application and your decision when it is time for the final report so that you ensure that you actually report on everything you promised in the application and that you have fulfilled all parts of the decision.

You have support from the office during your final reporting. We are happy to answer your questions and support you when applying for the final payment. We can also schedule a working meeting where we go through the application for final payment together.

Once the final report is submitted, you no longer have the opportunity to add or correct anything in the case!

Some advice for final reporting

Be proactive in good time

When you are to report your final report, it is important that you respect your final date. This is the date by which you should have completed everything in your project, paid all invoices for the actual expenses, and submitted an application for final payment.

If the application for final payment is received after your final date, you risk losing support for the expenses that are not reported on time.

Note the EU's information requirements

All projects that receive support through us must show this by using the EU logo and the Leader Development Hälsingebygden logo. Note that the Swedish Board of Agriculture can deduct or reclaim the support if the recipient does not meet the information requirements.

The logos should be present in documents and printed materials such as brochures, newsletters, signage, advertisements, and films.

The logos should also be present on the websites and in the social media that contain information about the project. There should also be a short description of the project, information about its purpose and results, a link to the Leader Development Hälsingebygden website, and information that the funds partly come from the EU.

It is important to use the logos correctly. On Swedish Board of Agriculture's website you can read more about the guidelines that exist.

Report voluntary contributions

In all leader projects, co-financing in the form of voluntary contributions is required, which can be both voluntary work and voluntary resources.

Voluntary work is reported in project diaries with time reporting or with participant lists. Templates are provided by the leader office.

Voluntary resources are reported through, for example, a list of donations, mileage logs, valuation certificates.

Travel compensation

For reporting travel compensation by car within the project, you use the Swedish Board of Agriculture's form.

When purchasing used equipment

To certify that the used equipment or the reused material that you have purchased in the project was not purchased with support from public funds by the previous owner, you use the Swedish Board of Agriculture's form.

Apply for final payment

Always contact the office before you make an application for final payment!

The office is happy to help and answer questions, or we can schedule a working meeting and go through the application for final payment together with you.

You apply for final payment via My pages at Swedish Board of Agriculture's website.

Be sure to keep the payment proofs

In addition to invoice copies, you also need payment proofs showing that the payments have gone through. A payment proof can be downloaded from the online bank, often you can click on “Historical payments” or similar. The payment proof should include the following:

  • Payment date
  • Paid amount
  • Sender (which account the money was withdrawn from)
  • Recipient (that the payment has gone to the same plusgiro, bankgiro, or account number as stated on the invoice)
  • That the payment has been completed. “Immediate payment” is not considered a completed payment.
